What Is It


An auto-responder is a device that automatically answers e-mails that are sent to it.

A mail transfer agent is a computer programme or piece of software that transfers electronic mail from one computer to another. The delivery of e-mail to a user’s mailbox normally takes place using a mail delivery agent.

In the past, it was found that mail transfer agents were unable to deliver e-mails to a particular address. Such a failure was marked by the creation of bounced messages which signified to the recipient the reason for the non-delivery. As a result, modern day auto-responders were borne.

How Does It Work

An important role for the auto-responder is in its use as a marketing tool for the successful delivery of e-mail messages. Consider such a role:


A viewer clicks on an internet website and responds to an offer for further information by clicking an appropriate button. This action sends a message to a designated auto-responder which then automatically logs the viewer’s details and dispatches the required information. Further, after a pre-programmed interval, the auto-responder may send out a further steady stream of information until the potential customer either purchases the product or signals a request for no further information.

Auto-responders are also used in conjunction with electronic mailing lists, in which e-mails are used in the widespread distribution of information to a multitude of internet users. Consequently, they may be used to confirm or cancel subscriptions, for example.

A typical e-mail list may contain the e-mail addresses, the names of the people at those addresses, and the e-mail messages sent to those addresses.
